About the Role
The Event Operations Coordinator is a vital member of Baird’s centralized meetings and events function, supporting the seamless execution of internal and external events. This non-exempt role focuses on operational excellence—handling logistics, vendor coordination, and administrative processes that ensure consistent, brand-certified experiences. Based in our Milwaukee office, the Coordinator partners closely with event planners and cross-functional teams to deliver high-quality events that reflect Baird’s commitment to exceptional client service and collaboration across the firm.
The Impact You’ll Make
Provide support for the onboarding logistics and training coordination for new associates, contributing to consistent and engaging team integration experience.
Provides training for temporary and new team members, as requested. Must cross-train with associates in other areas of operation to be better suited to handling special projects.
Partners with team lead and key stakeholders to maintain and refine staffing schedules, ensuring optimal coverage and service quality across teams.
Collaborate with key event stakeholders to evolve team policies and procedures in alignment with operational goals.
Manage inventory systems and fulfillment process for the operations and event teams ensuring readiness and responsiveness.
Facilities special amenity requests from branches, coordinating communication, distribution and billing with accuracy and professionalism.
Supports event leaders in team events, scheduling, and recognition for individual moments.
Assists in compiling and formatting sector performance data (i.e. conference center usage, ticketing, AV requests, etc) for strategic review and planning.
Contributes to monthly billing and expense processes, ensuring timely invoice reconciliation and supporting financial tracking efforts.
Oversee the security management process for visitors in conference center locations.
Supports Conference Centers as needed during high volume event times by greeting all visitors, providing information, directions, or assistance as needed, striving to create memorable experiences for all guests. This includes, but is not limited to, clients, vendors, new hires, recruits, internal and external business associates. Stands and escorts guests, as needed.
Deliver switchboard support with professionalism and accuracy, reinforcing Baird’s commitment to exceptional client service.
Offers event-based support to Corporate Events and Conference Services teams, adapting responsibilities to meet dynamic needs.
Ability to work a variety of hours and multiple locations within Baird’s Headquarter location to meet the coverage needs of the department and/or the demands of meetings and events.
Provides administrative support to the key leaders across the three event teams, contributing to cross-functional coordination and project execution.
Performs other duties as assigned.

What You’ll Bring to Baird
High school diploma or GED equivalent required. Bachelor’s degree in Hospitality, Marketing, Business or Communications preferred. Experience in very high-level team administrative or office management/operations or relevant position.
Strong team player mentality – willing to pitch in and help other team members whenever and wherever necessary. Flexible and highly adaptable, with desire to serve others.
Excellent organizational skills - ability to anticipate and prioritize daily workflow to effectively meet deadlines.
Ability to work independently in a fast-paced team environment with minimal supervision.

Proficient with Microsoft Outlook, Word and Excel required with willingness to learn other skills as tasks require.
