Job Summary

Provides secretarial and clerical support to CHW departments while focusing on the delivery of exceptional customer service.

Essential Functions

  • Manages patient phone calls to the doctors including making patient appointments based on availability and monitoring the doctor’s wait lists. Maintains patient confidentiality.
  • Maintains appointment calendar for the doctors. Coordinates the set-up of meetings and lectures including room reservations.
  • Assists with photocopying, power point presentations and the scanning of slides for lectures.
  • Types reports, letters, minutes, memos, and other correspondence, and distributes/faxes outgoing messages in a timely manner.
  • Assists with insurance company inquiries including follow-up correspondence.
  • Assists with orthodontic and surgical prior authorizations.
  • Coordinates the resident rotation schedule by arranging/confirming rotations.
  • Coordinates resident interviews each year which includes collating resident applications, setting up interview dates with the selected applicants, mailing out program information and confirmation letters and all follow-up correspondence.
  • Processes PASS and MATCH agreements.
  • Coordinates the externship program which includes mailing information to Dental Schools, mailing observer agreements to identified individuals and coordinating the schedule for externs.


Legacy Essential Functions

  • Sends out notification of presentations and arranges special presentations including Clear Path presentations and resident research presentations.
  • Maintains clinical data such as continuity of care, log of resident procedures and other outcomes projects to improve clinic efficiency and resident education.
  • Maintains residency program web sites.
  • Provides back-up coverage for dental secretaries as necessary.
  • May coordinate and schedule dental surgeries.
  • Enters and maintains clinic schedules, assures that clinic slots are appropriately utilized and filled.
  • Participates in the overall management of the QSI dental system.

Education:

  • High School graduate or Certificate of General Educational Development (GED) or High School Equivalency Diploma (HSED) Requires job knowledge normally acquired through completion of high school or equivalent, plus up to one year additional specialized training in word processing and data entry Required
  • or relevant experience

Experience:

  • 1+ years specialized training or experience in administrative support or equivalent related work experience Required

Knowledge, Skills and Abilities

  • Good computer and word processing skills utilizing MS Office Applications – Windows, Word, PowerPoint, Outlook, and Excel. Ability to accurately type 50 words per minute.
  • Good judgment and organizational ability to prioritize and organize workload to meet daily demands as well as respond to urgent situations.
  • Requires excellent customer service and interpersonal skills in order to assist others and respond to their needs in a professional, pleasant and efficient manner.
  • Ability to sit for extended periods of time while performing clerical duties.
