Job Summary:

The System Policy Management Coordinator provides operational, administrative, and technical support for the organization’s system-wide policy management program. Working under the direction of the System Policy Management Manager, this role coordinates day-to-day policy lifecycle activities, supports policy owners and governance processes, and serves as the primary administrator of the policy management system.

This role operates within established governance standards and escalation pathways and ensures policies are developed, reviewed, approved, maintained, and archived in support of regulatory compliance, patient safety, and organizational consistency.

Key Accountabilities:

- Facilitate and coordinate the efficient, integrated lifecycle of policies—including development, review, revision, approval, publication, maintenance, and archival—in accordance with the Policy on Policies and governance standards.

- Manage policy timelines, workflows, communications, tracking, and required documentation to ensure timely updates, expirations, and archival based on established review cycles.

- Serve as the primary administrator for the policy management system, maintaining data integrity, version control, metadata, and overall system organization, and collaborating with Information Services/Technology to resolve issues and enhance usability.

- Provide guidance and support to policy owners and stakeholders regarding policy processes, formatting standards, and system use; review policies for clarity, consistency, and adherence to standards and identify opportunities to reduce duplication or improve quality.

- Prepare and maintain training materials, templates, job aids, intranet content, and committee materials; document approvals and decisions and support audits, regulatory reviews, and compliance activities related to policy governance and leadership reporting.

- Perform other duties as assigned in support of the policy management program.

Education

- Bachelor’s degree in healthcare administration, nursing, business administration, or a related field required.

Experience

- Previous experience in policy governance, compliance, risk management, or clinical/administrative operations.

- Demonstrated experience working across complex, regulated healthcare systems.

Skills

- Proficiency with policy management systems and document management tools preferred.

- Strong organizational, interpersonal, verbal, and written communication skills.

- High attention to detail with demonstrated ability to manage multiple priorities.

- Ability to independently prioritize work and improve processes within established standards.

-Knowledge of healthcare regulatory guidelines, accreditation standards, or compliance requirements preferred.
